Getting started

Steadmate is your AI back office — delivered entirely through WhatsApp, SMS and email. It handles the admin that piles up when you are on the tools: enquiries, missed calls, follow-ups, booking requests, review responses, invoice chasing and more. No new apps to download. No dashboards to log into. Just value arriving in the channels you already use.

Primarily plumbers, electricians, roofers, gas engineers, landscapers and similar trades. It also works well for health and beauty businesses and some professional services. If you spend your evenings catching up on messages you missed during the day, Steadmate was built for you.

No. If you can send a WhatsApp message you can use Steadmate. The whole point is that it fits around how you already work.

Foundation clients are typically live within 24 to 48 hours. Core and Complete clients are usually live within two weeks — part of the process involves third party registration which we monitor closely and chase on your behalf.

A smartphone with WhatsApp. Everything else we will either connect to what you already have or help you set up during onboarding.

Core and Complete work perfectly without a website — they connect directly to your phone number and WhatsApp. Foundation includes a website chat widget so you would need one for that tier. If you do not have a website yet we have a free guide that walks you through building a simple trades website yourself — just ask and we will send it over.

We do not offer a free trial — and here is why. Every Steadmate setup is built specifically for your business. That takes real time and care and a trial would not do it justice. What we do offer is a free discovery call where we walk through exactly what Steadmate would look like for your business. You can also see a live demo on our website. And if you decide Steadmate is not right for you after going live, you can cancel any time with no penalties.

Pricing & billing

Foundation is £99 per month. Core is £249 per month. Complete is £449 per month. All prices currently exclude VAT.

Yes — a one-off setup fee covers all the custom work to get your account configured and live. During our current early adopter period the fees are £50 for Foundation, £100 for Core and £150 for Complete. Standard pricing is £299, £499 and £799 respectively. Setup fees are non-refundable as they cover real work done before you go live.

On the day your account goes live — not the day you sign up or pay. You are not charged while we are still setting things up.

You have 7 days to update your payment details. After 7 days your account pauses. There is no extension to the grace period.

Not currently — everything is monthly with no minimum commitment. Cancel any time.

The monthly fee covers everything Steadmate does. If you want to collect payments via invoice links on Complete tier you will need a free Stripe account — transaction fees go directly between your customer and Stripe. Some integrations such as Xero, QuickBooks or Trustpilot require you to hold your own account with that provider.

WhatsApp & how it works

No — your existing numbers stay exactly as they are. Steadmate uses a separate dedicated number to manage your WhatsApp communications. When a customer messages or calls, it always clearly identifies your business.

Your personal or business WhatsApp is never affected — we set up a separate number for Steadmate to use. If you cancel we handle everything on our end.

Steadmate is set up to sound like you — it uses your tone, your way of describing your work, your phrases. It will not pretend to be human if someone asks directly, but most customers experience it as a fast, helpful response from your business.

It knows its limits. If a question is outside what it can confidently answer it tells the customer you will be in touch and flags it to you. It will never guess or make things up.

Yes. Steadmate is available 24 hours a day, 7 days a week. Outside your set business hours it acknowledges customers, captures their details and lets them know you will follow up.

Yes. WhatsApp Web mirrors your phone automatically — anything Steadmate sends appears on both. No additional setup needed.

The managed service

It means we do everything. We set up your account, connect your integrations, train the system on your business and keep an eye on things every day. If something stops working we usually fix it before you have noticed. You will never be asked to log into a dashboard or configure a setting.

Through simple WhatsApp messages. Reply SEND to post something, APPROVE to confirm an invoice, EDIT to change a draft. For anything that goes to your customers Steadmate always asks for your go-ahead first. It never sends something on your behalf without checking.

If something breaks we will know about it before you do. You will hear from us straight away. Occasionally an issue is outside our control — platforms like WhatsApp or Google very rarely experience outages but when they do we will be transparent. We will always make it right. The best way is via WhatsApp on our dedicated support number — fastest route to a real person who knows your setup. You can also email hello@steadmate.co.uk. Urgent issues — anything affecting your customers directly — same day. Everything else within one business day.

Data & compliance

You do. Full stop. Your customer details, job history and business information belong to you and only you.

That all stays in your own accounts. We connect to those services to do the work but we never store or copy your data on our side.

Yes. Marketing messages are only sent to customers who have given consent. Seasonal campaigns include a built-in 30-day cooldown.

Yes. Steadmate is registered with the Information Commissioner's Office in accordance with UK data protection law.

No. Voice notes are transcribed immediately and then the audio is discarded. Only the text of what you said is kept and only for as long as it is needed to carry out the task.

You have 30 days after cancellation to export everything. After that your data is deleted.

Integrations & tools

Depending on your tier: Google Calendar or Outlook for scheduling, Xero or QuickBooks for invoicing, Gmail or Outlook for email triage, Google Drive for file storage, Facebook and Instagram for social monitoring, and Google Reviews and Facebook Reviews for reputation management. Trustpilot monitoring is available on Complete tier.

No. You only connect what is relevant to your business.

Not currently. Google Calendar and Outlook are the two supported platforms.

One primary calendar per account at launch. Team mode clients can connect individual calendars per team member.

Your Facebook business page for comment monitoring and draft replies. We also monitor Facebook groups you are a member of for local recommendation posts — you get an alert with a ready-to-copy reply. Facebook group rules mean we cannot post automatically on your behalf.

Cancellation

No. Cancel any time with no notice period and no penalties. Just send us a message on WhatsApp or email hello@steadmate.co.uk.

No. Setup fees cover real work done upfront — configuring your account, training the system, connecting your integrations. That work happens before you go live so it is non-refundable.

We do not offer formal account pausing — but if you have an exceptional circumstance just get in touch and we will do our best to find a solution.

Returning clients pay 50% of the standard setup fee. We want coming back to be easy.
